Vacancy – Junior Kit Manager

Role type: Voluntary
Time commitment: A few hours per week (more during pre-season and end-of-season periods)

Location: Southwell and surrounding area (some home storage of stock may be required)


About the Role

Southwell City FC is looking for a Junior Kit Manager to take charge of kit provision across our 30+ junior teams. This is a hands-on, practical role at the heart of the club, making sure every player has the kit they need, when they need it, while helping us hit our sustainability goals through recycling and reuse.

As a Nike Partnership Club, we also have our own online club shop, and this role includes working with the Executive Committee to help shape what’s available for teams to buy, from training tops to hoodies and other leisurewear.

This is a great opportunity for someone who is organised, enjoys being part of a busy grassroots club, and wants to make a real difference to how the junior section runs. You’d also be welcome to join the Executive Committee if you want a say in the club’s wider strategic direction.


Key Responsibilities

Stock and inventory

  • Manage kit requirements for 30+ junior sides
  • Keep stock of new and recycled kit for issuing to players
  • Maintain an accurate inventory system (sizes, quantities, condition) across all kit types, home and away
  • Carry out regular stock audits to identify shortages or surplus ahead of each season
  • Store kit securely and appropriately, organised by team and size

Ordering and supplier liaison

  • Order new kit from the club’s kit supplier when required
  • Liaise with suppliers for quick and timely delivery of kit, including for new managers
  • Plan seasonal ordering windows in advance to avoid delays for new signings or mid-season joiners
  • Check delivered kit against orders for accuracy before distribution
  • Manage returns or faulty kit with the supplier

Player and manager liaison

  • Act as the main point of contact for team managers on all kit queries
  • Communicate kit ordering deadlines and lead times clearly to managers ahead of each season
  • Handle sizing queries and exchanges when kit doesn’t fit
  • Keep a record of who has been issued which kit, so it can be traced back if needed

Recycling and returns

  • Receive used kit back from managers before issuing new kit, as players and requirements change
  • Make sure kit is recycled wherever possible to meet the club’s sustainability goals
  • Track how much kit is recycled and reissued each season versus newly ordered, and report this against the club’s sustainability goal
  • Assess returned kit condition and decide whether to recycle or retire it
  • Coordinate end-of-season kit returns across all junior teams

Deposits and finance

  • Ensure kit deposits are taken for new players joining the club
  • Ensure kit deposits are returned to players when kit is returned on leaving the club
  • Keep clear records of deposits taken and returned, reconciled against player registrations
  • Flag any outstanding deposits or unreturned kit to the committee
  • Work within an agreed kit budget and report on spend

Online club shop

  • Work with the Executive Committee to decide which items appear on the club’s online shop for teams and families to buy, such as training tops, hoodies, and other leisurewear
  • Help keep the shop offering aligned with our status as a Nike Partnership Club
  • Feed back to the committee on what’s selling well and what teams and parents are asking for

Admin and general

  • Keep kit records GDPR-compliant (player names, sizes, and similar details)
  • Support new team managers with an induction on the kit process
  • Attend committee meetings periodically to report on kit stock and budget
  • Act as the point of contact for any additional kit needs, such as cup finals, tournaments, or representative sides

Person Specification

Essential

  • Well organised, with good attention to detail
  • Comfortable using basic spreadsheets or simple record-keeping systems
  • Good communicator, confident liaising with team managers, parents, and suppliers
  • Reliable and able to commit a few hours a week, with more time around pre-season and end-of-season
  • Genuine interest in supporting grassroots junior football

Desirable

  • Previous experience with kit management, stock control, or similar logistics
  • An interest in sustainability and reducing waste
  • Willingness to get involved in wider club activities or committee discussions
